Privacy Policy for RAMS Mate™

1. WHO WE ARE

RAMS Mate is developed and published by Bullion Apps Ltd, a company registered in the United Kingdom.

For personal information that Bullion Apps Ltd actually receives, Bullion Apps Ltd is the data controller.

2. SCOPE OF THIS POLICY

This policy explains how information is handled when you use the RAMS Mate mobile application or contact Bullion Apps Ltd about RAMS Mate.

RAMS Mate is intended for workplace professionals and competent persons who prepare task risk assessments, safe-work methods and related records. Depending on the country, sector, regulator, client or organisation, these documents may be described as RAMS, Risk Assessment and Method Statement, SWMS, JSA, JHA, HIRA, task analysis, safe work procedure, safe operating procedure, method statement, work plan or another equivalent term.

3. OFFLINE APP AND LOCAL STORAGE

RAMS Mate
™  is designed primarily as an offline application. It does not require you to create an account.

The following information may be entered, created, imported or stored locally on your device:

• selected country or region and related terminology preference;
• company name, address, telephone number, email address, website and logo;
• author, preparer, reviewer or authoriser names, roles and signatures;
• project, client, site, task and work-location details;
• risk assessments, hazards, controls, work sequences, permits, PPE, emergency arrangements and other RAMS content;
• saved project defaults and app preferences;
• workforce names, employers, roles, trades and competency details;
• competency cards, certificates, photographs and supporting evidence;
• generated PDF documents and temporary export files.

This app content is stored locally within the application storage on your device. Bullion Apps Ltd does not operate a RAMS Mate
™  cloud account or cloud database and cannot remotely view, retrieve, edit or delete content stored only inside the app on your device.

4. ADVERTISING, ANALYTICS AND TRACKING

RAMS Mate
™  does not contain advertising, third-party advertising identifiers, behavioural tracking or third-party analytics.

Bullion Apps Ltd does not sell personal information collected through RAMS Mate
™ .

5. DEVICE PERMISSIONS

RAMS Mate may request device permissions only when you choose to use a related function.

Photo library and files

These permissions may be used to select company logos, signature images, competency cards, certificates and other supporting files, or to save and export documents.

Camera

Camera access may be used when you choose to photograph competency evidence, signatures or other supported records.

Microphone and speech recognition

Microphone and speech-recognition access may be used when you tap a microphone button to dictate text into a RAMS field. RAMS Mate
™  requests the device operating system's on-device speech recogniser and does not intentionally fall back to an online recogniser. RAMS Mate™  does not record or retain the microphone audio. Recognised text is inserted into the field you selected and is then stored in the same way as text you type manually.

The availability and operation of on-device speech recognition depend on your device, operating-system version, permissions and installed offline language support.

You can deny or withdraw permissions through your device settings. Some optional features will not work without the relevant permission.

6. SHARING, PRINTING AND EXPORTING

Information leaves RAMS Mate
™  only when you deliberately choose an action such as sharing, emailing, printing, exporting, saving to another location or opening content in another application.

When you use one of these actions, the selected destination may receive the document, image, competency evidence or other content you chose to send. The destination application, email provider, cloud-storage provider, printer service, operating-system service or other third party then handles that information under its own terms and privacy practices.

Bullion Apps Ltd does not control the recipient, destination or later use of information that you choose to export or share.

7. YOUR RESPONSIBILITY FOR WORKFORCE AND THIRD-PARTY INFORMATION

RAMS Mate
™  may be used to store personal information about employees, contractors, subcontractors, operatives, reviewers, clients or other people.

The user and the organisation using RAMS Mate
™  are responsible for:

• having a lawful and legitimate reason to collect, use, retain and share that information;
• giving any notices required by applicable privacy or data-protection law;
• collecting only information that is relevant and necessary;
• checking that competency evidence is authentic, current and appropriate;
• restricting access to authorised people;
• protecting the device and exported copies;
• applying appropriate retention and deletion periods; and
• complying with employment, privacy, data-protection, equality, confidentiality and sector-specific requirements that apply in the relevant country or region.

Do not use RAMS Mate to collect or share more personal information than is genuinely required for the work purpose.

8. INFORMATION BULLION APPS LTD MAY RECEIVE

Bullion Apps Ltd does not receive the locally stored RAMS Mate
™  records described above unless you deliberately send them to us.

If you contact Bullion Apps Ltd for support, feedback, a complaint or another enquiry, we may receive:

• your name and contact details;
• the organisation you represent;
• the contents of your message;
• device, app-version or technical information you choose to provide; and
• screenshots, documents or attachments you choose to send.

Please remove unnecessary personal, confidential or workforce information before sending support material.

9. HOW WE USE SUPPORT INFORMATION

We use information received through support or business enquiries to:

• respond to the enquiry;
• investigate and resolve technical problems;
• provide customer support;
• improve the reliability, safety and usability of RAMS Mate;
• maintain records of important support decisions or complaints;
• prevent misuse, fraud or security incidents; and
• comply with legal obligations or protect legal rights where necessary.

Depending on the circumstances, our lawful basis may be performance of a contract or steps requested before entering a contract, our legitimate interests in providing support and operating a secure and reliable product, or compliance with a legal obligation.

10. RETENTION

Information stored inside RAMS Mate
™  remains on your device until you delete individual records, use Clear All Saved Records, reset the app, remove exported copies separately or uninstall the app. Uninstalling or resetting the app does not necessarily delete copies that you previously exported, emailed, printed, backed up or saved elsewhere.

Bullion Apps Ltd retains support correspondence only for as long as reasonably necessary to resolve and document the enquiry, maintain appropriate business records, protect legal rights and meet applicable legal obligations. Information that is no longer required is deleted or anonymised where reasonably practicable.

11. SECURITY

RAMS Mate
™  uses the storage protections provided by the device operating system and application sandbox. No mobile application or storage method can guarantee absolute security.

You are responsible for using appropriate device security, including a passcode or biometric lock where available, installing operating-system security updates, controlling who can access the device, and protecting exported documents and backups.

12. INTERNATIONAL USE AND TRANSFERS

RAMS Mate
™  can be used internationally. The app itself stores its working records locally on your device.

When you choose to export information to an email, cloud, printing, messaging or other third-party service, that service may process information in another country. Review the selected service's privacy information before sending personal or confidential material.

If Bullion Apps Ltd uses a service provider to handle support or business communications and personal information is transferred internationally, we will use an appropriate lawful mechanism where required by applicable law.

13. CHILDREN

RAMS Mate
™  is a professional workplace-safety application and is not directed to children. Bullion Apps Ltd does not knowingly use the app to collect personal information directly from children.

14. YOUR DATA-PROTECTION RIGHTS

Depending on where you live and the law that applies, you may have rights concerning personal information held by Bullion Apps Ltd, including rights to request access, correction, deletion, restriction, objection or portability, and a right to complain to a data-protection regulator.

Because Bullion Apps Ltd cannot access information stored only inside RAMS Mate
™  on your device, requests concerning that local content must normally be carried out by you using the app, device settings, exported files or the Reset App function.

For information that Bullion Apps Ltd has actually received, contact contact@bullionapps.co.uk. We may need to verify your identity before responding.

If you are in the United Kingdom, you may also complain to the Information Commissioner's Office. If you are elsewhere, you may contact the privacy or data-protection authority responsible for your country or region.

15. THIRD-PARTY SERVICES AND LINKS

RAMS Mate
™  may open external websites, email applications, printing services, file pickers, sharing menus or other applications. Bullion Apps Ltd is not responsible for the privacy practices, security or content of those third-party services.

16. CHANGES TO THIS POLICY

We may update this policy to reflect app changes, legal requirements or improved explanations. The updated version will be published on the Bullion Apps website with a revised “Last updated” date. Material changes may also be highlighted in the app or store listing where appropriate.
